How to choose cleaning business software: a 7-point checklist

Scheduling, booking and invoicing tools all promise to run your cleaning business. This checklist helps you work out what you actually need before you start a trial.

1. Count recurring versus one-time jobs

If most of your income is weekly or biweekly clients, recurring scheduling is the feature that matters. Software that handles repeat visits, skips and reschedules cleanly saves more time than any other feature. If most work is one-time deep cleans and move-outs, booking and quoting matter more.

2. Note where new customers come from

List your last ten new customers and how they found you. If most came through your website or search, a booking form tied to your calendar and payments cuts out the back-and-forth. If they came by phone, text and referral, you may not need website booking yet.

3. Size your team honestly

A solo cleaner and a crew of fifteen need different tools. Some plans limit appointments (ZenMaid Starter is capped at 40 a month) and some limit providers (BookingKoala Starter covers 5). Check limits against the team you expect in a year, not just today.

4. Check payments and invoicing

Card on file, automatic charging after each visit and clear receipts reduce late payments and awkward conversations. Find out which payment processor the tool uses and what it charges: processing fees are rarely in the list price.

5. Test the cleaner experience

Your cleaners will use the mobile app every day. Ask for job details, checklists, routing and clock-in tools, and check whether GPS or time tracking is included on the plan you want.

6. Add up the real monthly cost

Start with the list price, then add SMS charges, payment-processing fees and sales tax. Compare the plan that has the features you need, not the cheapest headline price. Our ZenMaid and BookingKoala pricing pages break each plan down.

7. Run a real week through the free trial

Do not click around a demo account. Enter real customers, schedule a real week, send a real booking through the form, and have a cleaner try the app. If it takes more effort than your current system, it is not the right tool. Both tools we cover offer a free trial and month-to-month billing.

Where to go next

If your answers point to recurring residential cleaning, start with the ZenMaid trial. If they point to website bookings, start with BookingKoala. Not sure? Read the ZenMaid vs BookingKoala comparison.

Frequently asked questions

Do I need software to run a cleaning business?

Not on day one. A calendar and a payment app can carry a solo cleaner for a while. Software starts paying for itself when you have recurring customers to track, cleaners to dispatch, or customers you want to book without back-and-forth messages.

How much should cleaning business software cost?

Among the tools we cover, plans run from $19 to $49 a month (ZenMaid) and $27 to $197 a month (BookingKoala). Budget for extras too: SMS charges, card-processing fees and sales tax are not in the list prices.

What matters most in scheduling software for maid services?

For most residential cleaners it is recurring scheduling: handling repeat visits, skips and reschedules cleanly saves more time than any other feature. After that come online payments, reminders and a mobile app your cleaners will actually use.

Sources and how we checked

Pricing and plan details on this page come from the vendors' own pricing pages, checked on October 13, 2026. We have not run a cleaning company on these tools ourselves, so we describe what the vendors publish and point out where it is unclear. Vendors change plans often: confirm current details before you buy, and tell us if something here is out of date.
